Automated maintenance
Track repairs, approvals and contractor follow-up
LETO organises repair reports, requests missing details and recommends a trade. It prepares approval requests and sends authorised instructions to your approved contractors. Your team handles exceptions and decisions outside the limits you set.
Maintenance, contractors and compliance dates held in one place.
How a repair is handled
From first report to instructed contractor
Keep the report, approval, messages and completion evidence on the same case. Staff can check what has happened before taking the next action.
Step 01
A report arrives
Residents report in text, voice, images or video, without installing anything. LETO attaches the tenancy, property and reporter automatically and opens the case itself.
Step 02
Check the report
LETO organises the report, requests missing information and recommends a category and trade. Urgent concerns follow your agreed escalation route. Liability decisions remain with your agency.
Step 03
Approval is requested automatically
The landlord receives the reason, the expected cost and the options without anyone drafting an email. The answer, including a refusal, is held against the case so the decision can be evidenced later.
Step 04
The contractor is notified and the outcome recorded
LETO instructs the right contractor with the access notes, then files attendance, completion notes, photographs and documents on the case. The tenancy history updates itself.

Every automated step is recorded against the tenancy, with the time captured and the reasoning shown.

Reports, approvals and follow-up
Agree which steps can run automatically and which need staff approval.
Reports in the resident’s own words
Text, voice notes, images and video are accepted and read by LETO, so the report and its supporting media stay with the case.
Report classification
LETO organises the report, recommends a category and trade, and requests missing details. Uncertain or urgent cases follow your agreed review and escalation rules.
Landlord approvals raised for you
Requests are drafted and sent automatically with the reason and cost stated. Approvals, refusals and conditions are recorded against the case rather than held in a mailbox.
Contractors notified without a phone call
LETO selects from your own supplier list, sends the instruction with access notes, and tracks attendance on the same record.
Outstanding actions
Send agreed reminders and check how long each action has been waiting. Refer overdue or unanswered requests to your team.
An audit trail you can hand over
Every automated decision and action is timestamped, attributed and shown with its reasoning, so the history can be evidenced to a landlord or a third party.
Stated plainly
What the automation does not do
It does not vet or appoint contractors of its own accord. It notifies from your own approved supplier list, and your terms continue to apply.
It does not guarantee attendance times. It records what was agreed and what actually happened.
It does not decide liability between landlord and tenant. It records the decision your team makes and the reason given.
It is not a certified compliance system. Checklists reflect your configuration, and responsibility stays with your agency.
It does not act beyond the limits your administrators set. Any step outside those limits waits for a person, and every automated action is logged with its reasoning.
